1. Who Is Responsible for Your Information

BOX TO BOX ACADEMY LTD, trading as Box to Box Football Academy, is the data controller for personal information collected for academy bookings, coaching, communication and administration.

2. Information We May Collect

  • Parent, carer and emergency contact names, telephone numbers, email addresses and addresses.
  • Player name, date of birth, age group, attendance, coaching notes and programme history.
  • Medical, allergy, disability, accessibility, behavioural or welfare information needed for safe participation.
  • Booking, subscription, payment status, invoice and transaction records.
  • Enquiries, messages, complaints, consent choices and customer-service records.
  • Photographs, video or testimonials where a lawful basis and any required consent are in place.
  • Technical information such as IP address, browser, device, security logs and website interactions.
  • Safeguarding, incident, injury and first-aid records where relevant.

3. Children's Information

Most players are children. We normally collect their information from a parent or legal guardian and use clear, proportionate language when communicating directly with a child.

We collect only information reasonably needed to provide coaching, keep children safe, administer bookings and meet legal or safeguarding responsibilities. Parents and carers must not submit unnecessary sensitive information.

4. Why We Use Information and Our Lawful Bases

Contract

To process bookings, provide coaching, manage attendance, administer recurring plans and respond to service requests.

Legal Obligation

To meet accounting, tax, safeguarding, health and safety, regulatory and law-enforcement obligations.

Legitimate Interests

To operate and improve the academy, communicate essential updates, protect systems, prevent misuse and manage complaints, provided those interests do not override individual rights.

Consent

For optional marketing, certain photographs or videos, testimonials and non-essential cookies or tracking where used.

Vital Interests

To protect a player or another person in a medical or safeguarding emergency where consent cannot reasonably be obtained.

5. Health and Other Sensitive Information

Health, disability, allergy, welfare and safeguarding information may be special category data. Where we collect this information, we use it only where necessary and rely on an appropriate condition, such as explicit consent, vital interests, legal obligations or safeguarding reasons permitted by law.

Access is restricted to people who need the information for safety, coaching, administration or safeguarding.

6. How We Collect Information

  • Directly from parents, carers, players and adults making an enquiry.
  • Through booking, trial, waiting-list, payment and contact forms.
  • During sessions, matches, events, first-aid incidents or safeguarding processes.
  • From coaches, venues, leagues or governing bodies where relevant and lawful.
  • From website hosting, security and communication systems.
  • From publicly available information where necessary to investigate misuse, complaints or safeguarding concerns.

7. Who We May Share Information With

  • Booking, CRM, email, messaging and payment service providers.
  • Website hosting, security and technical support providers, including Cloudflare where used.
  • Coaches, authorised staff, venues and programme partners who need relevant information.
  • Accountants, insurers, legal advisers and other professional advisers.
  • Police, local authorities, health services, safeguarding bodies, leagues or governing bodies where required or necessary to protect someone.
  • A purchaser or successor organisation if the academy business is reorganised, subject to appropriate safeguards.

8. External Services and Platforms

The website links to services such as GoHighLevel booking forms, payment providers, WhatsApp, Google Maps, Google Business Profile, Facebook, Instagram and TikTok. When you open or use those services, the provider may process information under its own privacy terms.

We do not sell personal information to advertisers.

9. International Data Transfers

Some technology providers may process information outside the United Kingdom. Where UK data protection law requires it, we use providers or contractual arrangements intended to provide appropriate safeguards for international transfers.

10. How Long We Keep Information

  • Enquiries that do not lead to a booking are normally kept for up to 12 months unless a longer period is needed for a dispute, safeguarding issue or legal obligation.
  • Booking, subscription, transaction and accounting records may be kept for up to 6 years after the relevant financial or contractual relationship.
  • Current player records are kept while needed to provide the service and for a reasonable period afterwards.
  • Safeguarding, injury and incident information may be kept longer in line with legal duties and recognised safeguarding guidance.
  • Marketing consent records are kept while consent is active and for a reasonable period afterwards to demonstrate the preference or maintain a suppression record.
  • Optional photographs and video are reviewed periodically and removed when no longer needed, subject to lawful prior publication and record-keeping needs.

11. Security

We use reasonable organisational and technical measures to protect information, including access controls, role-based sharing, secure service providers, backups and system security measures. No internet or storage system can be guaranteed completely secure.

If a personal data breach creates a risk to individuals, we will assess it and notify the Information Commissioner's Office or affected people where legally required.

12. Your Data Protection Rights

  • Ask for access to your personal information.
  • Ask for inaccurate information to be corrected.
  • Ask for information to be erased where the law allows.
  • Ask us to restrict certain processing.
  • Object to processing based on legitimate interests or to direct marketing.

The academy does not currently make solely automated decisions about players or parents that produce legal or similarly significant effects.

14. Marketing and Communication Preferences

Essential messages about bookings, payments, timetable changes, safety and service administration are not marketing. Optional promotional messages are sent only where an appropriate lawful basis exists. You can unsubscribe or withdraw marketing consent at any time.

15. Photography and Video Choices

Promotional photography and video involving an identifiable child are managed according to the consent and safeguarding arrangements recorded for that player. Contact the academy to update or withdraw optional consent for future use.

16. Complaints and Contact

You also have the right to complain to the Information Commissioner's Office. We encourage you to contact us first so we can try to resolve the concern.

17. Policy Updates

We review this policy and update it when our services, providers or legal obligations change. Significant changes will be brought to affected people where required.
